Before you start

Your organization needs Document Management enabled, and your account needs access. If you cannot open the area, ask your organization administrator to check both.

How documents are organized

Document Management stores files and helps you organize and find them. A doctype tells Droplet what information to capture and how to use it when filing documents.

Document
The stored file and its associated information.
Doctype
A reusable definition built from a representative sample and fields. A doctype describes a kind of document; a folder is a place to find it.
Extracted fields
Values read from the document, such as an invoice number or vendor. Compare them with the original before relying on them.
Sorting path
A filing recipe that combines fixed folder names with field values.
Needs Review
Documents or proposed doctypes that need human attention. This is different from an upload failure.

For example, an invoice doctype could capture vendor, invoice number and fiscal year. Those values can identify the document and place it under Finance / Invoices / 2026 / Example Office Supply.

Follow a document through the process

The setup and document lifecycle follow this sequence:

  1. Configure a doctype from a sample and review its fields.
  2. Choose the sorting paths and document names.
  3. Upload a document and check its processing status.
  4. Resolve any classification or filing questions in Needs Review.
  5. Find the filed document and check its contents.

A document that is processing or awaiting review is not necessarily missing. One document can also appear in several filing locations without being several independent copies.

Check your first result

Start with one non-sensitive example. Confirm its identity, doctype, extracted values and filing location. If you manage setup, repeat the check with an everyday-user account.

Editing captured information is different from changing the original PDF or building a form. Use the task-specific articles for those distinctions.

If it does not work

Ask your administrator about access or missing actions. For upload, review or retrieval problems, use Troubleshoot Document Management and AI results.
