Resolve documents in Needs Review

Check the documents Droplet wasn't sure about, so each one gets the right doctype, the right values and the right folder.

Document Management: resolve documents in needs review

Why documents land here

Droplet files a document on its own when it is confident about the doctype and has every value its sorting paths need. Otherwise the document waits in Needs Review for a person. That usually happens for one of three reasons:

  • It looks like a new kind of paperwork. Droplet found uploads that don't match any doctype you have and suggests a new one.
  • Droplet couldn't tell which doctype it is. The document needs someone to choose.
  • A value needed for filing is missing. For example, an invoice with no vendor can't be filed in a vendor folder.

A document in Needs Review is stored safely. Don't upload it again.

Open Needs Review

In Docs, select Needs Review in the left panel. The row shows how many items are waiting and disappears when there are none. Items are grouped in two sections:

Proposed Doctypes
New kinds of paperwork Droplet spotted, each with a sample and the uploads that match it.
Documents
Individual documents that need a doctype or a missing value.

Review a proposed doctype

  1. Open the proposed doctype and look at its sample and the uploads that match it.
  2. Remove any upload that doesn't belong. It moves to the Documents section so you can deal with it separately.
  3. If these documents are a kind you already have, choose Add To Existing and pick that doctype. This option appears once your organization has at least one finished doctype.
  4. If they are a new kind of paperwork, set up the new doctype: check its fields and sorting paths as described in Create a doctype and configure its fields.

A proposed doctype disappears once all of its uploads are handled.

Resolve a document

The document needs a doctype

  1. Open the document and look at the page.
  2. Click Choose a Doctype and pick the matching one. Only finished doctypes are listed.
  3. Droplet reads the document for that doctype's fields. Check each value against the page and correct anything that's wrong.
  4. Click Save in the bar at the bottom. The document is filed.

If none of your doctypes fit and the document is a PDF, click Create New Doctype to start a new doctype from it.

A value is missing

  1. Open the document and find the empty value. Empty values show as None.
  2. Find the value on the page and type it in.
  3. Click Save. Droplet files the document using the value you entered.
Only enter values you can see on the page. If a value truly isn't there, ask the person who sent the document rather than guessing. A guess files the document in the wrong place.

Work through the list

  • After you save, Droplet opens the next item in the same section. When the list is empty, you return to your folders.
  • Click Cancel to undo changes you haven't saved. If you try to leave with unsaved changes, Droplet asks whether to save them first.
  • If many documents need the same fix, the doctype itself probably needs adjusting. Ask whoever manages your doctypes to look at its fields and sorting paths.
