Find, view, and update documents

Browse or search for a document, check it against the page and correct its details.

Document Management: find, view, and update documents

Before you start

Finding and opening documents needs the Documents permission with View. Correcting values needs Update as well. See Manage access and share document links.

Browse your folders

The left panel in Docs shows your folder tree. Open a folder to see the documents filed in it. A folder appears once a document has been filed in it. For something you just uploaded, check Recently Uploaded in the left panel.

  1. Click the magnifying glass at the top of the left panel.
  2. Type in Search for anything: a document name, a value such as an invoice number, or words from the page. Results show the folder each document is in, with the matching text highlighted.
  3. Use the arrow keys or your mouse to pick a result, and open it.

To narrow the results, click the filter icon next to the search box. You can filter by Doctype, by when a document was Uploaded (from the past day to the past two years, or anytime) and by Folder.

The search window with Doctype, Uploaded and Folder filters, and the Doctype filter open listing doctypes with a search box

Filter search results by doctype, upload date or folder.

Search for something unusual, such as an invoice or employee number, rather than a common word. If a document you just uploaded doesn't turn up, check Uploads and Needs Review: it may still be processing or waiting for a person.

View a document

Opening a document shows the file next to its details. You can zoom in on the page, and the document's folder path is shown above it.

Document tab
The doctype and every field value Droplet read. Point at a field to outline where its value sits on the page. On long documents, type at least two characters in Search Fields to find a field by name or value.
Activity tab
What has happened to the document, newest first: who viewed, downloaded, shared or changed it, and when.

Empty values show as None. Long values are shortened with a Show more link.

Correct a value

  1. On the Document tab, click the value and edit it. Check the page first so you only enter what is really there.
  2. Click Save in the bar that appears, or press Enter. For a new line in a longer text field, press Shift + Enter.
  3. To back out, click Cancel or press Esc. Droplet asks before throwing away your changes.

Correcting a value changes the details Droplet stores, not the file itself. If the same value is wrong on many documents, the doctype needs adjusting: ask whoever manages your doctypes.

Change a document's doctype

If a document was matched to the wrong doctype, you can change it from the details panel. This needs the Document Types permission with Update. The change is recorded in the Activity tab as Doctype Updated.

Right-click shortcuts

Right-click a document for Download, Share, See Doctype and Delete. Right-click a folder for Download All, Share and Delete all docs. See Manage access and share document links and Download and delete documents safely.

Common questions

Can I use the Activity tab as an audit log?

It shows views, downloads, shares and changes, but it doesn't record every possible action yet. Treat it as a helpful history, and check with your records team before relying on it for compliance.

Why can I see a value but not edit it?

Your role can view documents but not update them. Ask your admin to add Update to your Documents permission.
