Depending on the permissions set for your account, you may see the Actions button and dropdown in the My Submissions, All Submissions, and My Assignments views. Actions allow you to interact with form submissions in a variety of ways.
To open Actions, check the box next to one or more submission(s) then press Actions.
Depending on the permissions on your account, you will see the following options:
- Download: save submission(s) as a .pdf file to your computer.
- Export: save any number of submissions (from a single, selected form) to an Excel spreadsheet or CSV file.
- Activity Log: view the activity of a selected submission as it moves through the workflow.
- Assign: assign or reassign the selected submission(s) to someone else. Submission(s) will stay in the current step.
- Unassign: remove the person currently assigned to the submission. This submission will no longer progress forward in the workflow.
- Remind: send a reminder email to the person currently assigned to the selected submission(s).
- Archive: mark the selected submission(s) as Archived allowing you to organize forms within the application.
- Unarchive: undo the Archive action to any number of selected Archived submission(s).
- Unreject: moves selected Rejected submission(s) back into the step in which they were rejected.
Account Permissions and Actions
If your platform administrator has given your account permission to use only certain Actions, you will only see those Actions in your dropdown menu. For example, if you have permission to Export and Download the submissions, you will only see Download and Export when you press Actions.
If there is a submission in your list that you don't have permission to take Action on, you will see a notification when you select that submission and hover over that Action.
