How do I Export my Submission data as a spreadsheet?

Modified on Fri, 16 Feb at 12:13 PM

If you are tracking many submissions of a form or if you need to process your submission data and upload it to another location, you may need to export that data as a spreadsheet or CSV. If your Droplet user account permissions permit, you can export your selected submission data as a spreadsheet by checking two or more submissions toward the same form and then pressing Export from the Actions menu.

In the export menu that opens, you can make various selections to ensure your export contains the data you require. You will also have the option to save your export settings for this form.

On the left, you may choose between two file formats: a Spreadsheet XLSX (Excel) file or a CSV (Comma Separated Values) file.

Below that there are Format Options. "Inline Table Data" is relevant to forms that contain table elements and, when checked, means the export will insert all of the table data into one column in JSON format. Leaving this box unchecked means tables will be added as an additional sheet to the spreadsheet that will be linked to the submission in the table data (this option is only available for Spreadsheet (XLSX) format). Checking the box for "Links to private upload files" will include an active link to any files the submitter uploaded to the submission.

On the right, you will be able to choose which columns you would like to include in your spreadsheet. The column name listed will be the header in your downloaded file. Checking the box will include that column and matching data, unchecking the box will exclude that column and matching data.

This list includes a combination of data that is specific to the submission process and data that is specific to the form itself. Column names that start with [Droplet] (such as the Submission ID, Version, Submitted By Name, Submitted By Email, Status, Step, etc.) are columns that will include data about the submission process such as the workflow status and information from the activity log. You can quickly exclude these columns by checking the box next to "Deselect all Droplet Data" in the formatting options. The column names that do not start with [Droplet] will contain data from this particular form and will have an asterisk if the input was required to be completed.
