Add completed form submissions to Document Management
Store a PDF of every completed submission of a form in Docs, filed and named like any other document.
How it works
Connecting a form turns it into a doctype. The form already knows its fields, so Droplet doesn't need a sample to learn from: the doctype's fields come straight from the form. Each time a submission's status becomes Completed, Droplet stores a PDF of it in Docs and files it using the doctype's sorting paths.
Before you start
- Your role needs the Document Types permission with Create, and permission to see all of the form's submissions.
- Decide where these documents should be filed and what they should be called. A submission ID or a person's name makes a good document name.
Connect a form
Open the form's menu and choose Add to DropletDocs. Droplet creates a doctype for the form and opens it in the builder.
While you see Generating a sample from the form..., Droplet makes a sample PDF from the form. For long forms, the sample shows the first sections.
The fields come from the form and are locked, so you can't add, rename, retype, reorder or remove them here. Set the folders and document names the same way as for any doctype. See Organize documents with sorting paths and file names.
The Store Document section confirms that a document is added when a submission's status is Completed. From now on, completed submissions are filed automatically, and submissions completed before you connected the form are added too.
Check the results
- Open a folder the form files into and find a submission you know well.
- Open the document and compare its name, folder and values with the submission.
- If you connected a form with a long history, give Droplet time to add the earlier submissions, then spot-check a few.
Documents filed from forms don't appear in Recently Uploaded, which only lists files people upload.
Good to know
- The document is a PDF copy of the submission. The submission itself stays on the form as usual.
- Only submissions with the status Completed are stored. In-progress and rejected submissions are not.
- This connection covers forms. eSign documents and Packets aren't included.
- If you change the form later, check the doctype's sorting paths and names still use the right fields.
